Experience and Resources

 

Of course, experience is always a plus; but don't rule out a newer billing center that may be quite knowledgeable and strives toward perfecting the billing process. You will, of course, need to make sure of their knowledge in your specialty, or their eagerness and flexibility to learn your system and that they will be competent enough to take care of any problems that may arise.

 

Ask what knowledge they have in coding.  While coding should ultimately be the responsibility of the physician or office manager, a good billing service should be knowledgeable about coding issues and be able to spot and fix errors should they occur.  The staff at Aggieland Medical Billing Service continually reviews coding changes and are quite adept in the coding process.

 

What type of practice management software are they using?  The AMBS staff has implemented several types of software in its billing and is adaptable enough to learn new softwares quickly, thereby increasing its versatility. This allows you to continue using the program your office is familiar with.

 

Security and Availability

 

Is the company HIPAA compliant?  What steps, if any, has the company taken to create a HIPAA compliant policy and environment for their company?  Aggieland Medical Billing Service uses triple-encoded computer connection equipment and a virtual private network (VPN) to ensure that all information shared by computers is secure and unable to be read by persons not authorized to view the information.  This is the same practice used by the United States military for their secure computer connections.  All printed material is kept in a secured area in locked files.  Any extra copies, obsolete worksheets, or incorrectly printed materials are shredded into 3/16 by 1/4 inch pieces.

 

What kind of safeguards are in place for the security of backup data? Aggieland Medical Billing Service can operate either of two ways.  Copies of all data can be kept off site in a secure record storage facility or AMBS can access your computer remotely; all data entered by AMBS is stored on your computer system.  In the latter case you are responsible for making back-up copies of your data.

 

Request references to determine the discretion the company will use with your confidential data.  AMBS has letters of reference on file for your inspection.

 

How can you reach your billing company if you need them?  Aggieland Medical Billing Service maintains an office in College Station, Texas, and is open Monday through Friday, from 8:00 am until 5:00 pm. AMBS can be contacted by telephone, email, or fax during normal working hours and by cell phone after hours.

 

Collections and Fees

 

Ask questions about how they will handle your claims.  Follow-up and appeals are an important step in the claim process. Aggieland Medical Billing Service is dedicated to following up on all claims and makes every effort to ensure that your claims are paid.  We won't give up even if a claim is rejected two or three times.

 

What are their collection practices? AMBS will discuss with you exactly how your collections are to be handled.  You have the final say as to how certain situations will be taken care of.

 

What are their fees?  Fees are determined after a basic evaluation of your practice. If the fee is percentage based, it will be determined by the amount of monies collected and not by the amount of charges billed. If your claims are not paid then we don't get paid. AMBS does not charge a set-up fee. Depending on the type of service provided, you may be asked to invest in certain pieces of equipment or software to ensure secure and quality connections between your office and ours.

 

Please note, some states do not allow billing services to charge on a percentage basis.
